The CLE (Continuing Legal Education) Programs Assistant is responsible for the coordination of multiple aspects of CLE programs to ensure the smooth delivery of quality programs with exceptional customer service to members. This role provides essential clerical and organizational support to ensure efficient program operations.

CLE Programs Assistant

Purpose: The CLE (Continuing Legal Education) Programs Assistant is responsible for the coordination of multiple aspects of CLE programs to ensure the smooth delivery of quality programs with exceptional customer service to members. This role provides essential clerical and organizational support to ensure efficient program operations.

General Qualifications: The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently and exercise sound judgment. This position requires someone who is well organized and who can manage multiple priorities, anticipate needs, assess situations, and recommend solutions. The ability to interact with staff and members at all levels in a fast-paced environment, sometimes under pressure, while remaining adaptable, proactive, and efficient, is crucial to this role. Written and verbal communication skills, attention to detail, superb customer service and a willingness to learn are equally important.

Responsibilities: 

  • Customer Service
    • Primary for the call queue lineup
    • Assist customers with navigation of website and program purchases
    • Answers basic questions about upcoming programs
    • Track and process refunds and financial hardship waivers
    • Process registrations via mail
    • Prepare invoices and follow up
      • Create new records in iMIS/CE21
      • Email certificates of attendance to customers as requested
      • Coordinate GAL certificate requests
    • Monitor MoBarCLE emails and respond/distribute for response accordingly
    • Provide onsite conference support
  • Moderators/Speakers
    • Recruit and coordinate moderators for online programs
    • Maintain speaker resources
      • Update speaker database
      • Compile speaker evaluations and send evaluation summaries to speakers
      • Work with Communications to keep speaker resource page updated
      • Prepare speaker packets for onsite programs
      • Coordinate speaker materials, including deck presentations with IT
    • Coordinate speaker and moderator registrations, thank you notes, reimbursements, and gifts
  • General Office Support
    • Monitor programs
    • Coordinate participant packets for in-person programs
    • Packs and unpacks materials and equipment for programs
    • Assists management with special projects as needed
    • Maintain inventory for all CLE items and equipment, including AV equipment, badge supplies, tickets, envelopes, ribbons, signage, and speaker gifts, etc.
    • Send internal emails with relevant program information every week
    • Back up to the LMS Coordinator
    • Other duties as assigned

Education and Experience:

  • High school diploma or equivalent required and 2 years of experience or training in clerical or general office support work and business office practices; or
  • Associates degree or post-secondary courses may substitute for the required experience.
  • Computer skills and knowledge of MS Office products including Microsoft Outlook, Word, Excel, PDF, OneNote, Teams is a plus.
  • Experience with Learning Management Systems and databases is a plus.

  • Some travel within the state is required.

FLSA Classification: Non-exempt
Reports to:
Assistant Director of CLE Programs

Physical Requirements:

  • Routinely lifts and moves equipment and materials weighing up to 30 pounds
  • Occasionally may require reaching, kneeling, bending and standing for short periods of time
