Office Manager
The office manager is responsible for the coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency.

Purpose: The office manager is responsible for the coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency.

General Qualifications: The office manager should be able to handle a wide range of administrative and executive support-related tasks and to work independently and exercise sound judgment. This position requires someone who is well organized and who can manage multiple priorities, anticipate needs, assess situations, and recommend solutions. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, while remaining adaptable, proactive, resourceful, and efficient with a high level of professionalism and confidentiality is crucial to this role. Written and verbal communication skills, decision-making ability, attention to detail, and superb customer service are equally important.


Responsibilities:

  • Coordinate facility management and office maintenance
  • Coordinate the call queue for the main phone line to maintain adequate operator coverage
  • Maintain the office calendar and coordinate on-site meeting set-up
  • Manage and provide support to the switchboard and reception area
  • Monitor and maintain inventory and order supplies for office and meetings
  • Coordinate the logistics for workplace programs and events
  • Maintain purchase order system for accounting on office purchases and vendor services
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently
  • Monitor the Missouri Bar email and respond to or direct inquiries as appropriate
  • Maintain documentation and records of programs, events, requests, orders, etc.
  • Ensure security and confidentiality of data and information
  • Ensure office policies and procedures are being followed; make suggestions to modify existing policies and procedures to improve operational efficiency
  • Maintain a safe and secure working environment
  • Handle customer inquiries and concerns with attention to customer service
  • Open and close front desk and lobby area if receptionist is unavailable

Education, Experience, and Skills:

  • 5-plus years experience providing administrative support at the executive level
  • Knowledge of clerical practices and procedures
  • Knowledge of accounting, data, and administrative management practices and procedures
  • Knowledge of business and management principles
  • Computer skills and knowledge of office software packages, including MS Office

Receptionist
The receptionist is responsible for ensuring the switchboard is open from 8:00 a.m. to 5:00 p.m. on workdays, answering and directing calls, greeting visitors, and receiving front desk deliveries.

Receptionist

Purpose: The receptionist is responsible for ensuring the switchboard is open from 8:00 a.m. to 5:00 p.m. on workdays, answering and directing calls, greeting visitors, and receiving front desk deliveries. Relief switchboard coverage is available for a one-hour lunch, morning and afternoon breaks of 15 minutes each, and otherwise as needed. The receptionist also provides general office administrative support.

General Qualifications:
Must be well-organized and able to manage multiple priorities and anticipate needs. Must have the ability to interact effectively with staff of all levels and with callers and visitors. Must be adaptable, resourceful, efficient with a strong attention to detail. A high level of professionalism and ability to provide superb customer service is essential. 

Responsibilities:
•    Answer incoming calls and direct them appropriately
•    Provide callers with general information such as address, directions, website information, etc.
•    Greet visitors in a friendly, professional, and helpful manner
•    Receive front-desk deliveries and alert intended recipients promptly
•    Coordinate pickup of outgoing front desk packages
•    Monitor the mobar email inbox and respond to or direct inquiries as appropriate
•    Provide general office administrative support as directed
•    Send public information pamphlets for call-in orders when needed
•    Open and close the front desk and lobby area daily
•    Arrange and coordinate meetings/events including calendar invitations, catering, room setup, agenda, meeting materials, travel logistics, etc.
•    Prepare reports, emails, memos, letters using Microsoft Office and other tools
•    Maintain documentation and records of letters, memos, processes, reports, etc.
•    Assist with special projects, research, data collection, and other clerical tasks as assigned
•    Process invoices, reimbursements, and purchase requests
•    Perform other duties as assigned

Education and Experience:

High school diploma or equivalent.

Three years related experience or equivalent combination of education and experience.

Special Projects Coordinator

Purpose: The Special Projects Coordinator provides high-level administrative and technical support to special committees, and special projects, with a primary focus on the Judicial Performance Review (JPR) Committee. This role serves as the main point of contact for committee leadership, delivering essential clerical, organizational, and logistical support to ensure smooth and effective operations. The position involves frequent interaction with committee members, Missouri lawyers and judges at all levels, bar staff, and requires adaptability in a fast-paced, deadline-driven environment.

General Qualifications: The ideal candidate is a self-motivated professional with strong organizational skills, project management skills, and the ability to manage multiple priorities independently. This position requires sound judgment, attention to detail, and the ability to anticipate needs. Success in this role depends on excellent written and verbal communication, a commitment to customer service, and an ability to build and maintain effective working relationships.


Responsibilities:

  • Serve as committee liaison helping to educate and guide committee members on the committee scope, committee responsibilities, and current processes.
  • Support committee efforts by researching background materials, analyzing information, following-up on assigned tasks or decisions, and ensuring key milestones and deliverables are accomplished on time.
  • Coordinate committee and project activities with other departments and staff at the bar.
  • Prepare, format, and distribute meeting-related documents.
  • Coordinate meeting logistics, including room setup, travel arrangements, and support for both in-person and virtual participation.
  • Provide technical and administrative support for virtual meetings and webinars; serve as staff support for smooth virtual meeting operations.
  • Perform general organizational tasks and adapt to shifting priorities and evolving project needs.
  • Assist management with special projects as requested.
  • Provide occasional after-hours support and travel as needed to support meetings and related activities.
  • Perform other duties as assigned.


Education and Experience:

  • High school diploma or equivalent required, with at least five years of experience or training in clerical, administrative support, or general office operations.
  • An associate degree or relevant post-secondary coursework may substitute for a portion of the required experience.
  • Proficiency in Microsoft Office and familiarity with virtual meeting platforms (e.g., Zoom, Cisco WebEx, Microsoft Teams) preferred.
  • Prior experience supporting boards, commissions, committees, or professional associations is highly desirable.
  • Prior experience in project management, or in working with formal project plans, is highly desirable.

Lawyers’ Assistance Program Clinician and Well-Being Coordinator
The Lawyers’ Assistance Program Clinician and Well-Being Coordinator provides direct services and program support for the bar’s lawyer well-being initiative and the Missouri Lawyers’ Assistance Program, a confidential counseling program that serves lawyers, judges, law students, and their immediate family members.

Lawyers’ Assistance Program Clinician and Well-Being Coordinator

Purpose: The Lawyers’ Assistance Program Clinician and Well-Being Coordinator provides direct services and program support for the bar’s lawyer well-being initiative and the Missouri Lawyers’ Assistance Program, a confidential counseling program that serves lawyers, judges, law students, and their immediate family members. The clinician and coordinator provides counseling and support to lawyers, judges, law students, and their families dealing with a broad range of concerns including substance use, depression, anxiety or other mental health concerns, marital and family matters, work-related stress, and other personal challenges to enhance personal and professional success. The Lawyers’ Assistance Program Clinician and Well-Being Coordinator works to evaluate and assist legal professionals, refer for relevant services, grow and strengthen the program, and support the bar’s lawyer well-being initiative.

General Qualifications: This position requires a wide range of clinical experience, the ability to assist members of the legal profession, a willingness to be accessible to those seeking help, knowledge in the use of the DSM, responsiveness to those seeking help, ability to effectively manage crisis, ability to manage multiple priorities, sound clinical judgment, strong oral and written communication skills, and the ability to maintain a high level of confidentiality. The position also requires assisting the Director in recruiting and training volunteers, maintaining an effective referral program, and planning and delivering educational programs.

Responsibilities:

  • Assists in operating confidential helpline, serving lawyers, judges, law students, immediate family members, and concerned colleagues
  • Provides assessment, counseling, crisis intervention, referrals, and follow-up with clients dealing with a broad range of concerns, including but not limited to, alcohol and other substance use disorders, depression, anxiety, stress and burnout, gambling, career transition, work-life balance, family, marital, and social concerns
  • Provides services by phone, virtual platform, or in person, within scope of license
  • Updates and maintains provider resource list
  • Documents services and activities in a timely and accurate manner
  • Prepares minutes for the Standing Committee on Well-Being in the Profession (WBIP) and the WBIP Stigma Subgroup
  • Publicizes the initiative and the program, including writing relevant blog articles for use in Missouri Bar publications and social media
  • Collaborates with the Missouri Lawyers’ Assistance Program director to increase program visibility and service utilization
  • Provides staff support for the bar’s lawyer well-being initiative
  • Maintains professional license and malpractice insurance
  • Maintains high standards of confidentiality and professionalism
  • Provides consultation on request
  • Participates in other activities of the bar and performs other duties as assigned


Education and Experience:

  • Master’s degree in psychology, social work, counseling, or a closely related field and current related Missouri license
  • A minimum three years of relevant treatment experience
  • Familiarity with community support groups
  • Familiarity with evidence-based practices
  • Proficient telephone and computer skills
